Complete financial ledger and invoice management

The Transactions page is your master financial ledger. It records every fee generated, every service sold, and every payment received across your academy.

Transaction History

Why use this? Verify payments, audit financial records, and resolve billing disputes with parents.

The main table displays a chronological list of all financial activities:

  • Date: When the invoice was created.
  • Description: What was purchased (e.g., "Monthly Fee - Oct", "Skate Rental").
  • Skater: The student associated with the charge.
  • Amount: The total cost.
  • Status:
    • Paid Payment received.
    • Pending Payment due.
    • Cancelled Invoice voided.

Advanced Filtering

Use the filter bar to find specific records quickly:

  • Date Range: View transactions for a specific month or custom period.
  • Cost Code: Filter by revenue type (e.g., only "Monthly Fee" or only "Equipment").
  • Status: Isolate "Pending" payments to create a follow-up list.
  • Skater: View the entire financial history of a single student.

Managing Invoices

For transactions that are Pending, you can perform the following actions:

  • Mark as Paid

    Manually update the status if you receive cash or a direct bank transfer.

  • Edit Details

    Update the amount, due date, or add remarks (e.g., "Discount applied").

  • Cancel Invoice

    Void a transaction if it was created in error. This removes it from pending dues.

  • Download PDF

    Generate a professional invoice/receipt to share with parents.

Note: Once a transaction is marked as Paid, it cannot be edited or cancelled to preserve financial integrity.
